
The MAEDS Fall Conference is evolving!
This year, the MAEDS Board of Directors is making significant updates to the foundation of the event, with a particular focus on changes that impact our Exhibitors. These include updates to the Exhibitor Packages, Exhibitor Hall layout, Exhibitor booths, Wednesday schedule, and Wednesday dinner.
These updates are the result of years of careful planning by the MAEDS Board and extensive feedback from both our Exhibitors and Members. Our goal is to create the best possible experience for everyone who attends - maximizing engagement, value, and opportunities to connect.
Our Exhibitors are a critical part of the conference, and these changes are designed to enhance their experience while also improving the event for our Members. While more details will be shared in the coming months, we want to ensure everyone is prepared for a refreshed approach this year.
The Exhibitor FAQ has now been fully updated to reflect all changes for the 2025 conference. While this page is always a valuable resource, it is especially important this year due to the scope of updates affecting booth layout, scheduling, and policies. We strongly encourage every exhibitor—returning and new—to review the entire FAQ carefully to ensure a clear understanding of what to expect and how to prepare. Familiarity with the updated information will help avoid confusion and contribute to a smoother, more successful experience for everyone involved.
Here are the highlights of the changes:
Some new dates:
- The application window is June 1 - July 15.
- Successful exhibitors will be notified by August 1.
- Exhibitor payments are due by August 15.
- The hotel room block will be available after August 15.
There are now only 3 exhibitor packages available. Platinum, Gold, and Silver. The package determines the number of days that your organization can attend the conference, the location of the booth, and the number of reps who can attend.
- Platinum: can attend Wednesday and Thursday, has 6 exhibitor badges, and the booth is located in the Exhibitor Hall.
- Gold: can attend Wednesday and Thursday, has 4 exhibitor badges, and is located in the Exhibitor Promenade.
- Silver: can attend on Wednesday only, has 4 exhibitor badges, and is located inside the Exhibitor Hall.
The map of the new exhibitor area can be found here. There are 2 pages to this PDF, one for Wednesday layout and one for Thursday layout. The map is color coded to denote the location of each booth type.
The Wednesday schedule at the conference has changed. The Exhibitor Reception will now run from 4pm to 8pm with walking food stations available from 6:30pm to 8pm in the Exhibitor Hall and Exhibitor Promenade. That 4 hour block is solely dedicated to networking between our members and the exhibitors.
The Wednesday reception will include an Exhibitor Passport "game" that will encourage our members to visit exhibitor booths. More information about this new option will be made available closer to the conference.
Exhibitor tear-down will be staggered depending on the exhibitor package. Silver exhibitors will tear down after the reception Wednesday, Gold and Platinum exhibitors will tear-down after the President's Reception on Thursday. After tear-down on Wednesday, walls will be closed in the Governor's Hall and the space occupied by the Silver exhibitors will become the Dining Hall for Thursday and Friday.
These changes to the conference structure are the result of years of work, combining feedback from both members and exhibitors alike. Our members have consistently asked for more variety in the exhibitor lineup, while exhibitors have voiced concerns about extended downtime during sessions. With limited space and time, these adjustments represent a thoughtful balance—aimed at increasing exhibitor diversity and creating more meaningful engagement for everyone involved.
